Overview
This role supports both accounts payable and general administrative functions. It combines financial processing, office coordination, and front-desk duties to help ensure smooth daily operations. The position works closely with the finance and administrative teams.
Key Responsibilities
Accounts Payable
- Process accounts payable invoices accurately and on time
- Reconcile vendor statements and resolve discrepancies
- Manage the shared A/P inbox and respond to vendor inquiries
- Scan, organize, and file vendor documents
- Assist with freight chargeback tracking and audits
- Serve as point of contact for A/P when needed
- Support additional accounting tasks
Administrative
- Handle phone calls and daily internal communications
- Greet and assist visitors
- Direct incoming customer calls
- Manage incoming/outgoing mail
- Maintain office supply inventory and place orders
- Coordinate monthly lunches and company events
- Keep kitchen and breakroom areas organized
- Oversee third-party cleaning services
- Schedule meetings, prepare agendas, and coordinate travel
- Provide administrative support to management and general office operations
- Perform other administrative tasks as assigned

Qualifications
- 2-3 years of accounting experience, preferably in accounts payable
- 2-3 years of administrative or customer-service experience
- Experience with ERP or accounting systems, ideally in a manufacturing or distribution setting
- Experience supporting a mid-size organization with multiple locations
- Proficiency in Microsoft Office
- High school diploma or GED required; additional education preferred
